Driver & Field Operations Coordinator - Nairobi , Kenya

Position Purpose

The Driver & Field Operations Coordinator is responsible for safe driving, accurate household goods (HHG) surveys, and the coordinated execution of field and warehouse activities for HHG and cargo operations in Nairobi. Working closely with the Africa Manager, Nairobi moving crews, and assigned Move Coordinators, the role supports efficient, safe, compliant delivery while upholding Move One service standards and protecting company reputation.

Key Duties & Responsibilities

Driving, Road Safety & Operational Support (Core Responsibility)

• Drive company-owned or company-controlled vehicles safely, responsibly, and professionally at all times.
• Comply fully with Kenyan traffic laws, road rules, and safe driving expectations.
• Transport Move One staff, crews, packing materials, and equipment to support operational requirements.
• Immediately report any accidents, incidents, unsafe situations, vehicle damage, or mechanical issues through the appropriate internal process.

 Fleet Care, Servicing & Vehicle Condition

• Maintain day-to-day responsibility for the assigned vehicle(s), ensuring cleanliness, presentation, and roadworthiness.
• Ensure Move One branding/stickering remains visible and in good condition, escalating replacement needs as required.
• Perform routine vehicle checks (e.g., tires, lights, mirrors, fluids, brakes, emergency equipment) and ensure defects are escalated and corrected promptly.
• Coordinate servicing, preventative maintenance, and repairs to minimise downtime and protect fleet condition.
• Maintain secure custody of vehicle keys and assigned vehicle equipment.

 Vehicle Logbook, Mileage & Fuel Accountability

• Maintain accurate daily vehicle logbook records and ensure entries reflect actual business usage.
• Track fuel usage and consumption patterns and report discrepancies or unusual trends without delay.
• Provide mileage summaries and fleet usage updates to the Africa Manager as requested.

 HHG Surveys & Volume Accuracy

• Conduct HHG surveys professionally and accurately, capturing volume estimates and shipment handling requirements.
• Ensure surveyed volumes fall within ±10% of the final packed volume.
• Identify fragile items, special packing/crating needs, difficult access points, and handling risks, and communicate these clearly to the Move One office teams.

 Field Execution & Move Support (Aligned with Assigned Move Coordinator)

• Support the execution of packing, loading, delivery, and unpacking operations in coordination with the assigned Move Coordinator and HHG crew team.
• Ensure field execution aligns with the approved scope of service, quotation requirements, and Move One standards.
• Provide timely on-site operational updates (progress, delays, constraints, and risks) to support coordination, planning, and real-time adjustments.
• Maintain strong teamwork and communication across crews and office teams to support smooth delivery.

 Warehouse Discipline & Shipment Control

• Support structured warehouse operations and ensure shipments remain segregated and correctly labelled by customer and job reference.
• Prevent shipment mix-ups, commingling, loss, or incorrect loading through disciplined handling and checks.
• Track movement of goods between residence, warehouse, vehicle, and destination to reduce risk of damage or missing items.
• Escalate discrepancies, missing-item risks, or concerns immediately to the Africa Manager / Operations Manager.

 Crew Support, Teamwork & Labour Efficiency

• Support moving crews with disciplined execution, teamwork, and productivity standards while ensuring safe working practices.
• Assist with task allocation based on skill (breakables, electronics, appliances, assembly/disassembly) to improve efficiency and quality.
• Monitor time discipline and working efficiency and flag issues to management where required.
• Promote respectful conduct and positive teamwork on customer premises and during warehouse operations.

·        Valid Kenyan driving licence with a clean driving record.

·        Relevant experience in driving and operations (logistics/warehouse/HHG preferred).

·        Strong vehicle discipline, reporting accuracy, professionalism, and teamwork.

·        Reliable, calm under pressure, cost-conscious, and responsive to direction.
