Lead Quoting Coordinator - Africa

POSITION PURPOSE: 

Reporting to the Director of Supply Chain, Moving Services, Balkans & Central Asia, a Lead Quoting Coordinator shall be responsible to maintain full visibility of all new and on-going moving quote requests. Within this, the senior quote coordinator shall ensure that requests are being appropriately and strategically assigned to the right team members at the right times as part of our efforts to drive quoter output and minimize quote turnaround times. Further, the Lead Quoting Coordinator shall liaise closely with the individual quoters throughout the day to;

● track the progress and timely issuance of quotes for requests where all necessary costs have previously been identified as being in-hand ● re-assign requests as necessary to ensure smooth workflow and minimize delays

● follow-up on the procurement of costs, ensuring that requests for rates have been floated in an expeditious manner, based on approved vendors and/or partners

● follow-up on requests for quote revisions and ensure that these are being processed at a priority level

● provide additional support to individual quoters in handling / resolving frustrated requests by working directly with vendors, local offices and partners as necessary 

RESPONSIBILITIES/DUTIES/FUNCTIONS TASKS: 

Conduct weekly quotes quality audits with a focus on timeliness and quality, identifying deficiencies and advising remedial action as necessary e.g. additional training. Discrepancy weekly report to be submitted to your manager 

The Lead Quoting Coordinator shall be also responsible for, assigning of request to quote coordinator and guide them with specific instructions for mode of transport, routing and which vendors to use at origin and destination, including adding new ones together with Supply Chain Team.

Work closely with the their Managers, and other concerned managers, to continuously review the quoting process at both team and individual quoter levels, with a view to continuous improvements in both areas

Ensure quoters remain aware of all & any special pricing arrangements at all times e.g. rebates, SLA’s and further ensure that any changes are communicated in a timely manner and relevant documents are uploaded to the system

Ensure that the quoting team maintain default calculation sheets used for rates on file, tenders & on-line systems up to date at all times to facilitate the efficient processing of such pricing assignments

The Lead Quoting Coordinator shall also be personally responsible to prepare Ad Hoc quotes, focusing (volumes permitting) primarily on P1 requests

Actively participate in the induction of new hires, ensuring new quoters are appropriately trained in terms of quotation / tender best practices.

Assistance with creation of pricing models to facilitate forecasting for required headcount and associated productivity implications of a client portfolio.

Assist in the Implementation of  regular use of on-line platforms and InTrack with default tariffs, country info and rates / data relevant for each country of operation.

Manage all Multi-country RFQ's inclusive of , review and understand needs and objectives, get approval from senior management to quote, distribute to team, collect and review results and submit to customer while ensuring all deadlines are met.

Work closely with the Quoting personnel & Move One operations and sales teams in determining the RFP requirements, ensuring all cost elements have been captured on the basis of estimates and final costings

Ensure that RFP are current, accurate and complete, meeting all of the requirements as set out in the Statement of Work provided in the customer’s RFP/RFQ.

Work closely with the Quoting personnel to establish a costing database in support of future estimates.

QUALIFICATIONS: 

Bachelor's degree preferred

Excellent level English (both written & spoken)

High level of numeracy

High level of computer literacy, particularly with the following PC applications: Word, Excel, Open office, Windows

6 months to 2 years relevant work experience in an international environment, preferably in a pricing role within the Moving or Freight Forwarding

Experience in procuring rates directly from agents, forwarders and/or other 3^rd party vendors and quoting customers directly

Work experience in a customer-focused environment an advantage

SPECIAL POSITION REQUIREMENTS:

Occasionally work outside business hours, weekends
