Quotes Coordinator (Logistics)

Position: Quotes Coordinator (Africa)Qualification: Bachelor degree or equivalent (preferably quantitative)IT-Skills: MS-Office (Including Word, Excel {intermediate minimum}, Powerpoint)Languages: Native level French & English (both written & spoken)Reports to Tender & Pricing ManagerWork Location: Douala, CameroonProfessional Experience: Minimum 3 years in an international environment (preferably in a pricing role in Logistics / Freight Forwarding / Transportation sectors)Position Purpose: Reporting to the Tender and Pricing Manager, the Quotes Coordinator will partner with Operations, Sales and other company functional areas, to provide quoting support primarily for the Africa trade lane logistics & freight forwarding enquiries received by Move One for both regional and global customers. You will be responsible for producing quotes, & supporting Requests for Proposals, working with all teams within the organization to achieve this.

Objectives
Pricing -Transactional Quotes:
Preparation of timely responses to all customer RFQ's for the Africa region and 3rdd countries as assigned;• per request Priority level classification• per Move One standard tariffs or • using spot rates procured from company nominated approved Move One suppliers/vendors or • based on costs provided concerned local Move One office and• in line with management guidelines regarding mark-up/margins, terms & conditions & turnaround times
Ensure system-generated quotes are prepared with all mandatory fields completed, also indicating details of the nominated vendor(s), revenue and profit estimates and supported by all applicable terms and conditions
Communicate with the client to acknowledge each request, establish an understanding of the requirements, provide timely updates as to the status of pending quotes and to ascertain the status of previously submitted quotes.
Pricing Support:
Liaise with concerned Move One offices/partner agents to establish & maintain up to date standard tariffs on-file for local transportation, sea/airport handling/clearance & warehousing RH&D services at all major / established points of origin/trans-load in the Africa region. Rates to be re-validated on a quarterly basis at a minimum.
Ensure AOR (Africa) tariffs are correctly set up in Intrack and maintained up to date at all times
Assist in the development & maintenance of a database for;• Shipping Lines: containerised, breakbulk & RoRo• Carriers: cargo & PAX airlines; for main African Sea /Airport under each trade lanes. Each Carrier must have POC details to facilitate the issue of regular freight enquiries.
Work in conjunction with the Cargo Team Leader & local offices to establish and maintain up to date a comprehensive list of asset-owning Transport companies providing FTL & LTL services throughout the Africa region. Equipment specifications: - Tilt & box trucks, 40 ft Flatbed, Low beds 30 MT, 60 MT, 90 MT with details of max. payload & loading options available in vendor inventories.
Work in conjunction with the cargo Team Leader & local offices to establish and maintain up to date road freight rates for primary trade lanes
Maintain regular communication with Move One Operations / local offices, agents and transportation providers to ensure current and relevant knowledge of SOP's, import/export regulations and transportation availability & schedules for assigned lanes
Work in close coordination with Operations to ensure quoted and actual costs correspond. Notify concerned Country Manager where discrepancies are identified
Monitor vendor/partner agent quote terms and conditions with a view to recommending improvements/amendments
Support Tender Management:
Assist in preparation of Commercial Proposals for large tenders by securing competitive rates and favourable terms

Assist in drafting Technical Proposals for large tenders, writing clear method statements / Concept of Operations (as required)
Quote Tracker & System Updates:
Ensure opportunity/quote visibility by recording details of each enquiry in the on-line Quote Tracker, to include at a minimum basic customer/POC information, key RFQ details, request & submission dates and quoter reference
Ensure regular, timely follow-ups for all pending quotes and status updates for all system-generated quotations. Further, ensure rate feedback is provided to vendors from whom rates have been procured.
Prepare a sanitised weekly summary report of all issued quotations for review by management

• 8 Hours: Destination clearance & delivery (per tariff) for consolidated air &/or containerized seafreight• 24 Hours: Consolidated Airfreight, Non-Haz and/or Containerized Sea Freight, Non-IMCO• 48 Hours: Consolidated Airfreight (Hazardous) and/or Containerized Sea Freight (IMCO)• 72 Hours: Break-Bulk / OOG / Ro-Ro / Multi-modal Freight* In all cases date of receipt of enquiry & requested & actual submission dates to be recorded in In track / on-line
Adherence to tender internal deadlines;
Misc. Services:
Any other responsibilities, time-lines issued by reporting Manager in due course;

Performance Review
Performance Review Criteria:
100% accurate weekly reports to be submitted by COB Friday of each working week
Achievement of quote conversion rate as defined in the annual goal-setting process
Achievement of quote output productivity as defined in the annual goal-setting process
Achievement of quote turnaround times as defined in the annual goal-setting process
